The Communication and Office Coordinator will serve as the main point of contact for the Chamber’s daily operations and communications.

Key Responsibilities:
Communication & Member Engagement:
- Social Media Management: Regularly update and engage with the Chamber’s social media platforms (Facebook, Instagram, LinkedIn, etc.) to keep the community informed about events, news, and member highlights.
- Weekly Member Communications: Manage and distribute the Weekly Resource Email to members, ensuring relevant and timely information is communicated.
- Bi-Weekly Member Newsclips: Prepare and send out the Bi-Weekly Member Newsclips email, including updates and news relevant to the Chamber members.
- Bi-Monthly PACE Report Newsletter: Assist in preparing the PACE Report Newsletter, which is distributed bi-monthly, highlighting Chamber achievements, community stories, and member spotlights.
- General Member Communication: Act as a primary point of contact for member inquiries, providing prompt, professional responses via phone, email, and in person.
- Guest Reception & Phone Handling: Greet visitors as they enter the office, providing a welcoming and professional experience. Serve as the primary person for answering phones and directing calls as needed.
- Chamber Gift Checks: Prepare and distribute Chamber gift checks for members, as part of our local business support initiatives.
- Leadership West Bend Program: Provide administrative support to the Leadership West Bend Program, including scheduling meetings, coordinating program communications, and maintaining records.
- Meeting & Event Scheduling: Schedule boardroom use for meetings and Chamber events, ensuring smooth operations and appropriate arrangements.
- Ribbon Cutting Ceremonies: Coordinate and schedule member ribbon-cutting events, liaising with businesses, Chamber staff, and community representatives to ensure successful ceremonies.
- Shared Calendar Maintenance: Manage and maintain the Chamber’s shared office calendar, ensuring all events, meetings, and deadlines are accurately scheduled and communicated to the team.
- Office Supplies & Equipment Maintenance: Oversee the ordering and maintenance of office supplies, as well as managing routine maintenance and repairs for office equipment.
- Assist with additional administrative and office support duties as required, helping the team with day-to-day operations and special projects.
- Experience: Minimum of 1-2 years of administrative or office support experience, with a preference for experience in a nonprofit, membership-based, or community-focused organization.
- Skills:
- Strong written and verbal communication skills, with an ability to effectively engage members and the community.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with office equipment (copiers, printers, etc.).
- Experience with social media platforms and basic graphic design tools (Canva, Hootsuite, etc.) for managing posts.
- Ability to manage multiple priorities and deadlines with attention to detail.
- Familiarity with email marketing platforms (e.g., Constant Contact, Mailchimp) is a plus.
- Strong interpersonal skills and the ability to maintain a professional and friendly demeanor in all interactions.
